Who operates this site

The El Paso Hispanic Independent Automobile Dealers Association (EPHIADA) operates ephiada.org in support of local independent automobile dealers, association members, vendors and community partners. What information is collected

For meeting check-in, the form collects a visitor's full name, dealership or business, phone number, email address, attendee category, meeting identification and check-in time. Information given voluntarily for inquiries, memberships, sponsorships and newsletter subscriptions may include contact information and details of the request. Wix and other providers may also process IP addresses, browser or device information, requested pages, security logs and cookies.

How we use information

EPHIADA uses information to register and count meeting attendees, operate association programs, process or administer memberships and contributions, reply to inquiries, protect its systems and maintain appropriate organizational records. Newsletter and promotional updates are a separate, voluntary process; completing meeting check-in does not subscribe a person to marketing emails.

RSVP registration and check-in

When you RSVP for a future monthly meeting, EPHIADA records your name, dealership or business, phone number, email, attendance category, the meeting identifier, and your acknowledgement of this privacy notice. The website returns a unique confirmation ID and private check-in link. It does not automatically send confirmation emails or subscribe registrants to marketing messages.

At check-in, an attendee may supply that RSVP code. The code is stored with the arrival record for private association matching and attendance reports. The public form does not reveal RSVP records or verify a code against the private list in real time. Walk-in check-ins are recorded without an RSVP ID. Keep confirmation links private, as anyone with a link can present its code.

Meeting attendance

Meeting check-in information is stored for internal association administration, not displayed as a public directory. Authorized EPHIADA administrators and relevant platform providers may access it to perform their duties. To request correction or removal, email ephiadealers915@gmail.com. Some information may need to be retained for legitimate records or legal purposes.

Service providers and external websites

Wix hosts the website and provides backend services. Zeffy provides newsletter, membership and donation experiences. Meeting RSVPs are collected directly on EPHIADA.org and stored in restricted Wix CMS records. Linked social media sites and regulatory resources operate separately. Data provided directly to those services is subject to their terms and privacy notices. Authorized EPHIADA personnel and service providers may access records for association operations, security or legal obligations.

Private information and sponsorships

A sponsor listing or logo does not, by itself, grant that business access to private attendance or membership records. The public site is not designed as a contact-list sales service. Please do not submit payment cards, passwords, medical information or other confidential data through the website chat.

Automated website assistant

Ask EPHIADA is currently an automated, knowledge-based navigation and FAQ tool, not a human representative. Its published code handles questions in the visitor's browser and retrieves public FAQ content; it is not currently designed to transmit a chat transcript to an EPHIADA chat database. Hosting and network service logs may still be produced. If an outside generative AI provider is later added, this policy must be updated before that feature begins processing messages.

Cookies, embeds and analytics

Necessary platform cookies may support site hosting, security and functionality. Optional embedded Zeffy forms are controlled by visitor preference on this site; opening a provider directly is subject to that provider's own controls. A source-code audit cannot establish every cookie or tracking request generated by Wix's infrastructure. The RSVP page also loads a QR-display script from Cloudflare's cdnjs; its browser connection may disclose routine network information to that provider, while the RSVP code is encoded in the browser. Retention and security

Personal information may be retained as reasonably necessary for event administration, association operations, records, security, dispute resolution and applicable obligations. Different providers have different retention practices; EPHIADA has not published a universal automatic deletion period. Access should be limited to authorized persons, but no online system is completely secure.

Your choices

You can contact ephiadealers915@gmail.com to request access, correction or deletion, or to ask about how your information is used. Children and changes

This website is directed to adult business and industry participants, not children under 13. Contact us if you believe a child provided personal information. We may revise this notice as features or practices change. Effective date: October 30, 2026.
